Things to remember
when planning an event

Don't forget to include in your budget the actual costs of labor, service charge percentage, and taxes.


*


Limit on-line registrations to the members of the organization and make the password simple (i.e. membership number).

A great way to get additional help for your staff without increasing your costs is to utilize volunteers and graduate interns who want to learn more about the event planning industry.

Be prepared for a medical emergency at your event by knowing the following: where is the nearest hospital, is the 9-1-1 system available, who is your on-site contact person, and how do you contact them in the event of a medical emergency.

Rental costs for the use of the community college or university facilities rooms or theatres are usually lower than traditional sites.

Taking the time to anonymously watch your potential entertainment (musician, band, speaker, comedian) in action before you sign a contract is time well spent.

Identify the person at each radio and television station who is to receive your public service announcement, deliver the psa three to four weeks prior to the broadcast date, and be sure to identify yourself as a non-profit organization.

Once you receive a quote from a florist, be sure that the contract states that any overage is the responsibility of the florist.

Does the site you have chosen meet the American Disability Act (ADA) guidelines? Review the guidelines and check the parking lots, front desk, elevators, guest rooms, meeting rooms, bathrooms and staff.
